In order to provide payment processing in colada, the organizers (or planners) must decide on one of the variants and options.

Available payment service providers (PSP)/acquirers

The first and most important question concerns the decision as to whether the payment should be processed via colada or via another PSP.

Contract for coladaAll payment processing takes place via colada and its contracts and gateways with the payment service providers (PSP). We currently offer Stripe as a PSP.
Contract by organizerThe organizer has concluded its own contract with a PSP. The contract number is stored in colada.
– The cash flow (collection and any remittances) is handled directly by the organizer.
– Settlement of credit card commissions by the organizer.
– Terms and conditions/liability/insurance directly via the organizer.
– Control/acceptance PSP by the organizer.

Note: If you are only planning a one-off event and do not yet have your own contract, we recommend using colada. The time and cost involved in drawing up a (one-off) contract with all the parties involved should not be underestimated.

Online payment process via colada

ProcessingComplete processing via colada. The organizer is not directly involved, but has access to the guest data and payment information at all times.
From the participant’s perspectiveThe participant registers for an event of the organizer. colada is visible as a ticketing partner. At check-out (payment by credit card), the participant sees that the payment is processed by colada. They accept the colada Ticketing GTC. The participant receives the invoice/receipt from colada and NOT from the organizer. colada MUST be named as a ticket or event partner. The logo clearly indicates to the participant that colada is the ticketing/event partner of the organizer.
Cash flowIf desired, colada can create a separate account for each organizer or project. Both parties (organizer and colada) have equal access to this account via online banking. Participants’ payments flow directly into this dedicated account. Payments received are transferred to the organizer’s account on a monthly basis or as agreed. Please note: The money will only be transferred to the account by the acquirer after the 30-day deadline.
Commissions and feesThe specified commissions and fees will be deducted from the total amount before transfer to the organizer.
Legal matterscolada carries out the payment processing in its own name and is therefore also liable to the participants, the PSP and the organizer. The organizer is therefore not liable to the participants and the PSP with regard to payment processing.
GTCThe organizer must provide terms and conditions adapted to its events. These must be clearly visible on the event registration or the event landing page.
The GTC must clearly state that colada, as the event and ticketing partner, is responsible for processing the payment of participation fees.
RemittancesIn the event of a participant canceling (deregistration), a refund of the amounts paid is possible. The effort involved in billing and refunding is very high. If this task is taken over by colada, the procedure in consultation with the organizer is as follows
– Cancellation by participant → Consultation with the organizer
– Manual check of the cancellation (accompanying persons, sessions, etc.)
– Final cancellation by the guest with notification to the organizer
– Refund to participant
– Charging of expenses for cancellation handling to organizer.
– Costs as per agreement.

Transaction process

A transaction passes through several stages, which all have to work together. The process of online payment processing by card is always the same: a bank that has a license from a credit card organization, for example, issues a Master Card for a customer. This customer makes a purchase with the credit card received. The transaction that this triggers is forwarded to the respective banks, taking security into account.

A) Credit card organization

The credit card organizations issue licenses for the use of the respective credit card (e.g. Visa, Master Card or AMEX) and decide on its use and handling. The credit card organizations are not directly involved in the purchase/sale.

B) Issuing bank (bank of the buyer)

The issuing bank, also known as the issuer, is the bank that has issued the credit card to the purchaser (participant). In order to issue a credit card, it requires a license from a credit card organization. The issuer is responsible for billing the buyer’s credit card.

C) The buyer (participant)

This is the person who has initiated a transaction through an online purchase. For them, the process is complete for the time being after entering and confirming the credit card details. They will receive a confirmation of registration and/or the purchased (colada) ticket. Their bank will send them a credit card statement, which they must pay.

D) Payment service provider (payment service provider)

A payment service provider (PSP), also known as a payment gateway, is responsible for the transaction. It provides the banks involved with information about the transaction, taking high security standards into account.

The service of a payment service provider can be a card reader in a store or, in the case of colada, the integration of online payment into the software.

Important: In order to “activate” card payments, you or your PSP need a contract with the desired credit card organization that authorizes you to use this means of payment.

E) Seller (organizer)

In order for a seller to provide several payment methods, they need a credit card acceptance contract with their bank – the acquiring bank. This contract contains a number of points such as security, fees and so on.

F) Acquiring bank (bank of the seller)

The acquiring bank, also known as the acquirer, is the seller’s bank. The acquirer is responsible for authorizing and managing the transaction information and passing it on to the issuing bank. To make this possible, the bank needs a credit card acceptance agreement with the seller and license agreements with the respective credit card organizations.
