A test drive event looks effortless from the outside: Guests arrive, get into the vehicle of their choice, take it for a spin and leave excited. Behind this effortlessness, however, lies an astonishingly agile event. Vehicles alternate between use, charging station and break. Guests appear earlier, later or not at all. And each vehicle has a host who has to maintain an overview and deliver a good experience at the same time.

We have developed the Driving Experience Cockpit precisely for when planning meets the reality of the event day. A special portal for drivers and on-site administration that brings together many processes in a clear, transparent and simple way.

The cockpit consists of two closely interlinked components: a central dashboard for an overall view and a personal host app for each individual vehicle. Both are constantly connected with each other – changes are immediately visible on both sides and everyone works with the same up-to-date information.

01 The dashboard – the overview for the entire fleet

The dashboard is the command center for everyone who controls the event. It shows every vehicle in use at a glance – with everything that matters at the moment: the current status, the location/charging station, how many guests have already driven, how many are still to come and who is currently on the road.

Instead of telephone chains and shouting across the parking lot, this creates a shared picture of the situation. The event management immediately recognizes where things are running smoothly and where a bottleneck is building up. Each vehicle map shows the most important information at a glance: Model, parking space, next step and whether guests have already checked in or are still waiting.

  • Live status of the vehicles: In use, on break, charging or out of service – always up-to-date and visible to everyone.
  • Guest progress: How many have already traveled, how many have checked in and how many are still to come.
  • Location & charging station: Where is the vehicle currently parked – on the route, at the parking space or at the charging station?
  • Who is currently driving: The current slot including the next guest and time – without having to ask.

02 The host app – the personal companion on the vehicle

While the dashboard shows the big picture, the host app is tailored to just one person: the host – the obligatory co-driver of a vehicle. It is provided with his individual data and only shows what is relevant for him: which journeys with which guests are due on which day.

The host can immediately see which of his guests have already checked in and which have only booked a slot. If the next person is already there, the journey can start with a tip. If someone doesn’t show up, the slot can be skipped just as easily. The app guides you through the day instead of managing it.

The highlight: vehicle status with one click

The actual centerpiece is the direct control of the vehicle status (In service/ Break/ Charging/ Out of service). If a vehicle breaks down for any reason or has to go to the charging station, the host indicates this with a single click and the change is immediately visible to everyone transparently on the dashboard. No call to the event manager, no delay, no loss of information.

And it’s not just a silent update: appropriate notifications can be pushed directly to the right groups on the mobile device. This means the team knows the moment something changes and can react before a minor issue turns into a traffic jam at reception.

Why this counts: Transparency is not created by more messages, but by the fact that every change is recorded exactly once at the source and then automatically arrives everywhere. This is exactly what the interaction between the host app and the dashboard does.

03 Two apps, one process

The dashboard and host app are not separate tools, but two perspectives on the same reality. The event manager keeps an eye on the fleet; the host works close to the vehicle and the guest. What happens in one place is directly reflected in the other.
