Complete workflow in one system

  • Room and table plans can be easily created using the drawing functions. Depending on the event, different table shapes or rows of seats are available for theater or stadium.
  • The list of registered guests is available at the same time. The data can be linked accordingly via colada.guests.
  • Guests can then be transferred to the plan using drag and drop.
    The current planning status can be made available to all those involved, such as planners, guest managers, external service providers and guests, at any time.
  • Guests can be checked in on site via QR code scan or manually. The status of checked-in guests can be seen live on the table plan, making work on site much easier.
  • The colada.designer presence status for each individual seat provides the catering team with important information for allocating the right menu to the right person, live and at any time.
  • Guests arriving later or no-shows can be entered live at any time.

Integration with check-in

Guests who have been seated at a table or seat must know where they are sitting. If this information has not already been communicated in advance – in order to make last-minute changes to the tables – it can be communicated directly at check-in via the QR code. When the QR code is scanned, the seating information appears automatically.

Hosts and hostesses in the hall can also use this function, or search directly via iPad in the interactive plan.

As dynamic as your guests

Seating arrangements are a dynamic matter. Suddenly, Ms. Müller can no longer come with Mr. Müller, Mr. Borsdorf cancels at short notice and Ms. Erlinger now sits at the table with her competitors – the seating arrangements have to be changed.

With colada.designer, planners and colleagues on site have a common planning tool and can plan just as dynamically as the conditions at an event change.

Working with roles

Seating plans can be divided into areas and colored to make them easier for the planner to handle.

In addition, these areas can be assigned to guest managers so that they can only edit guests in their area or at their tables. This makes colada.designer a real collaborative application.

  • Planners can actively work on the plans and guest lists. They have full access to the system.
  • Guest managers have access to the areas assigned to them. This allows you to assign and remove guests. You cannot change the drawing (placement/arrangement).
  • Viewers have read access. They cannot change anything.

Licenses are only required for planners and guest managers – viewers are free of charge.

Multiple plans per event

As always, we at colada think one step ahead and allow the parallel creation of several plans at the same event. This is particularly useful if you have several seatings at the same event with the same guests or have to work in different rooms with different setups.
